Terms of Service

These Terms govern access to and use of invijob, a lightweight invoice and quote software service for businesses and contractors. By creating an account, signing in, accessing, or using the Service, you agree to these Terms.
1. Definitions
"Service" means the invijob website, application, invoice and quote tools, customer records, document sending features, public document links, file storage, email delivery features, and related services we provide.
"Customer Content" means information, documents, files, images, business details, customer details, invoices, quotes, notes, messages, and other content that you submit to or create using the Service.
"You" and "your" mean the person or business using the Service. "We", "us", and "our" mean invijob.
2. Eligibility And Account Responsibility
You must be legally able to enter into a binding agreement and, if you use the Service on behalf of a business, you confirm that you have authority to bind that business to these Terms.
You are responsible for keeping your account access secure and for all activity that occurs under your account. You must provide accurate account information and keep it up to date. You must tell us promptly if you believe your account has been accessed without permission.
3. Licence To Use The Service
Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable right to access and use the Service for your own internal business purposes. You must not sell, resell, rent, sublicense, copy, reverse engineer, interfere with, scrape, or misuse the Service.
4. Invoices, Quotes, And Document Accuracy
The Service is a software tool only. We do not provide legal, accounting, tax, financial, debt collection, or professional advice. You are solely responsible for deciding how to use the Service and for getting professional advice where needed.
You are solely responsible for reviewing and verifying all invoices, quotes, customer details, business details, descriptions, quantities, prices, discounts, totals, tax rates, tax amounts, payment terms, due dates, expiry dates, document numbers, notes, bank or payment information, and any other content before sending, issuing, relying on, or sharing a document.
We are not responsible for losses, disputes, penalties, rejected payments, unpaid invoices, tax issues, accounting errors, customer disputes, incorrect totals, incorrect recipient details, duplicate documents, numbering issues, or other consequences arising from documents or information created, entered, sent, viewed, or stored using the Service.
5. Customer Content And Data Rights
As between you and us, you retain ownership of your Customer Content. You grant us a limited right to host, store, copy, process, transmit, display, email, back up, and otherwise use Customer Content as necessary to provide, maintain, secure, support, and improve the Service.
You are responsible for the accuracy, quality, legality, reliability, and appropriateness of Customer Content. You confirm that you have all rights, permissions, notices, and lawful bases required to submit Customer Content to the Service and to instruct us to process it.
6. Public Links And Email Sending
The Service may allow you to email invoices, quotes, and related public document links to customers or other recipients. You are responsible for checking recipient details before sending. Anyone with access to a public document link may be able to view the related document while the link is active.
You must not use the Service to send spam, unlawful demands, misleading payment requests, fraudulent invoices, abusive content, or content that infringes another person's rights. We may limit, suspend, or block email sending or public document access where we believe it is necessary to protect the Service, users, recipients, or third parties.
7. Acceptable Use
You must not use the Service to:
- break the law or encourage unlawful activity;
- create, send, or store fraudulent, misleading, harmful, abusive, defamatory, obscene, or infringing content;
- impersonate another person or business, misrepresent your authority, or send documents from a false identity;
- upload malware, malicious files, executable content, or content designed to interfere with the Service;
- attempt to access, test, scan, or use another user's account, documents, customers, files, or data without permission;
- bypass rate limits, security controls, public link protections, authentication, or access controls;
- scrape, harvest, benchmark, overload, or reverse engineer the Service;
- store payment card numbers, bank login credentials, medical records, special category data, or other highly sensitive regulated data unless we expressly agree in writing;
- use the Service for high-risk activities where failure could cause death, personal injury, serious financial harm, or legal non-compliance.
8. Privacy And Data Protection
We process personal data to provide, secure, support, and improve the Service. You are responsible for ensuring that you have a lawful basis to enter customer and recipient personal data into the Service and to send documents to those people.
We may retain account records, invoices, quotes, customer records, email logs, activity logs, public access events, security events, backups, and related records for operational, security, support, accounting, legal, and legitimate business purposes. Deleting an item from the user interface may not immediately remove every copy from backups, logs, archives, or records we are required or permitted to retain.
9. Third-Party Services
The Service may rely on third-party providers for hosting, authentication, email delivery, storage, security, analytics, domain services, payments, and other functionality. We are not responsible for third-party services, interruptions, actions, omissions, terms, fees, security incidents, or failures outside our reasonable control.
If payment processing or other third-party integrations are made available, your use of those services may be subject to separate third-party terms. We do not provide banking, lending, payment processing, or financial services unless expressly stated.
10. Fees, Trials, And Changes
We may offer free, trial, beta, or paid features. Fees, feature availability, usage limits, and plan terms may change from time to time. Paid subscriptions, if offered, will be billed according to the plan and payment terms shown when you subscribe.
We may update, suspend, withdraw, or discontinue any feature where reasonably necessary for security, maintenance, legal, operational, or business reasons.
11. Suspension And Termination
We may suspend or terminate your access to the Service if we reasonably believe that you have breached these Terms, created risk for us or others, failed to pay applicable fees, used the Service unlawfully, or used the Service in a way that may harm the Service, other users, recipients, or third parties.
You may stop using the Service at any time. After suspension, cancellation, expiry, or termination, we may deactivate your account and retain or delete Customer Content in line with our normal retention practices, backups, security requirements, legal obligations, and legitimate business needs.
12. Service Availability And Security
We aim to provide a reliable and secure Service, but we do not guarantee that the Service will be uninterrupted, error-free, secure from every threat, compatible with every device or browser, or available at all times. Maintenance, updates, provider outages, internet failures, attacks, emergencies, or events outside our reasonable control may affect the Service.
You are responsible for keeping independent records and backups of information that is important to your business, including invoices, quotes, customer details, tax records, and accounting records.
13. Disclaimers
To the fullest extent permitted by law, the Service is provided "as is" and "as available". We disclaim all warranties, representations, conditions, and guarantees, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, availability, reliability, and security.
We do not warrant that the Service will meet your requirements, produce legally compliant documents, calculate taxes correctly, prevent human error, guarantee payment, resolve customer disputes, or ensure that any invoice, quote, reminder, public link, email, or file is correct, delivered, received, accepted, or paid.
14. Limitation Of Liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any rights that cannot be excluded under applicable law.
Subject to the previous paragraph and to the fullest extent permitted by law, we will not be liable for indirect, consequential, incidental, special, punitive, or exemplary losses or damages, or for loss of profit, revenue, business, contracts, goodwill, reputation, anticipated savings, data, use of data, opportunity, customers, or business interruption.
Subject to the first paragraph of this section and to the fullest extent permitted by law, our total aggregate liability arising out of or relating to the Service or these Terms will not exceed the greater of the amount you paid us for the Service in the three months before the event giving rise to the claim or £100.
15. Indemnity
You agree to defend, indemnify, and hold us harmless from and against claims, losses, liabilities, damages, costs, and expenses, including reasonable legal fees, arising from or relating to your Customer Content, your use of the Service, documents or messages you create or send, your breach of these Terms, your violation of law, your infringement of third-party rights, or disputes between you and your customers, recipients, contractors, employees, suppliers, or other third parties.
16. Intellectual Property
We and our licensors own the Service, including software, design, branding, interfaces, workflows, and other materials, excluding your Customer Content. You must not copy, modify, distribute, create derivative works from, or use our intellectual property except as permitted by these Terms.
If you provide feedback, suggestions, or ideas, you allow us to use them without restriction or compensation.
17. Changes To These Terms
We may update these Terms from time to time. If changes are material, we will take reasonable steps to notify you, such as by posting the updated Terms in the Service. Your continued use of the Service after updated Terms take effect means you accept the updated Terms.
18. Governing Law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales will have exclusive jurisdiction, except where applicable law gives you mandatory rights to bring a claim elsewhere.
